Privacy Policy

1. Who we are
Play by Entries ("Play", "we", "us") is a service at play.tryentries.com. Play lets accounting firms connect each client's QuickBooks Online company to the firm's own AI tools (such as Claude, ChatGPT, or Cursor) through the Model Context Protocol (MCP). This policy describes how Play handles information. It applies to Play only, not to Entries Core.
2. Information we collect
- Account information such as name, email address, password or passkey, and two-factor authentication settings.
- Firm and client workspace names, logos, team memberships, and invitations.
- QuickBooks Online connection tokens stored through our integration provider (Nango) so Play can call QuickBooks on your behalf. We do not keep a copy of your clients' books.
- MCP authorization grants that record which AI tools you connected and which access scopes you approved.
- Billing details processed by Stripe, including subscription status, payment method, and the number of connected clients.
- Reliability data such as error reports and performance traces sent to Sentry, and emails we send through Resend (verification, password reset, invitations, and two-factor codes).
- Session cookies on .tryentries.com. Those cookies are shared with Entries Core if you also use that product.
3. What we do not persist
Play does not background-sync or store QuickBooks books, transactions, reports, or other financial records on our servers. When an authorized MCP client calls a tool, Play proxies that request to QuickBooks live and returns the response to the client. Client names and logos are stored so you can manage workspaces in Play.
4. How we use information
- Operate Play, including authentication, team access, and MCP connections.
- Bill per connected client and manage your subscription.
- Provide support, prevent abuse, and keep the service secure.
We do not sell personal information. We do not use your clients' QuickBooks data to train Entries models or for advertising analytics.
5. Sharing of information
We share information with service providers that help us run Play, including Vercel (hosting), Neon (database), AWS (file storage and CDN), Nango and Intuit (QuickBooks connections), Stripe (payments), Resend (email), Sentry (error monitoring), and Google (optional sign-in).
When you connect an MCP client such as Claude, ChatGPT, or Cursor, that client receives live QuickBooks data for the clients you authorize, including any writes you allow. Those tools have their own privacy policies. Entries does not control whether they retain, train on, or further share the data you send through them.
We may also disclose information when required by law or to protect the service and our users.
6. Cookies
Play uses cookies that are needed to keep you signed in and to load logos and other files. Sentry may collect diagnostic information to help us find and fix errors.
7. Data security and retention
We use reasonable technical and organizational safeguards, including encryption in transit. No method of transmission or storage is completely secure. We retain account, workspace, connection, and billing information for as long as needed to provide Play, comply with law, and resolve disputes.
8. Your choices
You can update your account in the app, delete a client workspace, and revoke MCP access. To request deletion of your account or other information we hold, contact support@tryentries.com.
9. Children
Play is a business service. It is not directed at children, and we do not knowingly collect information from children.
10. Changes to this policy
We may update this policy from time to time. We will post changes on this page and update the effective date.
